Make a short source inventory
List the pages and documents you want the assistant to use. For each source, note its purpose, owner and any information that may change. Sembang’s reviewed source workflow can use suitable website and PDF material; the source selection is assessed during setup.
| Source | Questions it should answer | Review when |
|---|---|---|
| Company and service pages | What do you offer, and for whom? | Your offering or service scope changes |
| Approved FAQs | What do visitors repeatedly ask? | Staff identify a gap or unclear answer |
| Contact information | How can visitors reach your team? | A contact detail changes |
Resolve contradictions before adding more content
If a brochure and a website page disagree, decide which information is current before approving it. Remove expired promotions and unsupported promises. Define any conditions that change an answer rather than expecting the assistant to infer them.
Avoid including private account information or internal documents merely because they contain an answer. Choose sources suitable for the visitors who will use your website assistant.
Write FAQs from real visitor questions
Use the wording people use when they call or email your team. Answer the question directly, then explain the conditions and next step. If the answer depends on a sales assessment, say so.
For a bilingual website, review essential terminology in English and Bahasa Malaysia. Keep the underlying facts consistent even when the wording differs.
Test the gaps as well as the answers
Prepare questions that the source should answer and questions it should not. Check whether the assistant identifies missing information and whether a visitor can still find a useful contact route. Source links help reviewers trace the answer to the approved material.
AI can still make mistakes. Assign someone to review reported problems and approve changes. More documents are not automatically better than a smaller set of clear, current sources.
